Q: Do external users need a seat to submit reimbursement requests?

Hello,

I run a small company and have one financial person managing expenses. We often need to reimburse external participants for our projects.

Would it be possible to handle this through your app, where external people (non-team members) can submit their receipts for reimbursement, and my financial person processes them?

Would I need only one seat for my financial person, or do I need additional seats for everyone submitting reimbursement requests?

A: Hi Tia,

Currently, every person who submits receipts—whether an internal team member or an external participant—needs their own seat. This ensures that every submission is securely linked to an authenticated account.

However, if the external participants only have occasional expenses, you can create a single account for them and activate our "Email to Receipt" feature. They can then simply forward receipts via email to that dedicated account, streamlining the process without needing a seat for each submission.

Yes they are one off participants so basically I need to collect max 10 receipts from each.

As you understand it doesn't make sense to give them a seat.

If I activate this email submission how I can know if it is from participant A or B or C the submission?
