Q: Who is the Merchant of Record for ticket sales?

Hello,

With HeySummit taking a portion of the transaction, does this mean that payments are processed by HeySummit (as the Merchant of Record) and then the earnings distributed to Event Organisers after?

Or is it a case that the Event Organiser is the Merchant of Record connected via Stripe or PayPal and HeySummit has a way to automatically deduct 1.5% of revenue on the backend of Stripe and PayPal.

Similarly, for Affiliate Payouts after events, how is this handled on the backend.

Checking to make sure we understand and for tax compliance purposes.

Thanks!

A: Hey, great questions.

Essentially, the event organizer will always be the merchant of record simply because they are connecting their own Stripe and PayPal accounts. Due to this, HeySummit never touches money from your ticket sales. It gets transferred directly to your connected Stripe and PayPal accounts.

That being said, HeySummit does of course provide additional and supplementary reporting in terms of sales records, attendee sign-up records, etc. But ultimately, the master of record will be your connected Stripe or PayPal account.

In terms of HeySummit deducting the transaction fee, any transaction fees accrued over the last 30 days are then added to your standard monthly subscription and will be charged at your next billing cycle, which is usually at the beginning of the month. If you're on an annual plan, we bill you at the beginning of each month, as opposed to waiting for the end of the year.

In the case of AppSumo customers, who typically do not pay us monthly, we will bill you at the beginning of each month for any transaction fees accrued. It's for this reason that you will be asked to connect a billing card before you publish an event with paid tickets - essentially so that we have a payment method on hand to bill you for any transaction fees, if there are any.

Finally, in terms of affiliate commissions and payouts, HeySummit does all of the tracking and reporting so that we can see exactly which affiliates are owed and how much on a given month. However, the actual payouts are handled by the customer outside of the HeySummit platform.

Once you pay them outside of the platform, you can click a button in your HeySummit report to mark them as paid, allowing you to keep track of who has been paid and who hasn't.

I hope the above helps clarify. I appreciate there’s a bit of detail here, so just let me know if you have any further questions.

Many thanks.
