Solid Product. Just need more clarification

This seems to be a great tool for automating bank statement processing. I like how quickly and accurately it converts your statements + transaction categorization and efficient vendor management. The dashboard is simple / user-friendly and overall this tool does not require much setup. You can start using it immediately.

I do have a few concerns that I hope you can address:

1. Bank Statement Upload Limits on AppSumo Plans: I noticed that while the number of invoices allowed per plan is specified, the limits for bank statement uploads are not as clear. I would appreciate clarification on how this applies to the specific plans offered through AppSumo, as this will help me determine the most suitable plan for my needs.

2. Data Privacy and Security Details: I have reviewed your Privacy Policy but seek further clarification on the following points:

a. Data Hosting Location: Where is user data physically stored? Understanding the hosting location is crucial for assessing compliance with data protection regulations.​

b. AI Models and Third-Party Services: What specific AI models are utilized to process OUR financial data? Are any third-party services involved in this processing, and if so, which ones? This information is important to evaluate the security and confidentiality of sensitive financial data.​

c. Data Retention and Deletion: Post-processing, are the original copies of bank statements and invoices retained or deleted? Could you provide more specifics on the retention period and deletion process for these documents?​

I am keen on upgrading my subscription + willing to update my review to a 5 star rating if they can clarify my concerns.

Overall, this is a solid product thus far, and I'd like to upgrade my tier, but need more clarification on the plans and privacy.

Impressive Financial Tool with Limited Data Privacy Options

This is an excellent tool for converting credit card and bank statements (PDF) into Excel format. Out of all the similar products I've tried, this one works the best—it captures everything accurately. It also provides a comprehensive overview of your financial health by automatically categorizing transactions into income, expenses, and more. It essentially functions like a Mint dashboard, but for your uploaded PDF statements.

That said, the main drawback is the lack of user-facing privacy controls. Although the developer mentions in 'Questions' that users have the right to be forgotten and can close their accounts, there’s currently no built-in option in the dashboard to delete or terminate your account. It appears you have to request this manually via email.

Also concerning is the permanence of uploaded data. Once a PDF is processed, the original files remain in the system indefinitely with no way for users to delete them. Items are not removable from sections like Vendors and Reconciliation, and there's no user control over data retention. This raises red flags about data security—especially in an era when even major companies face data breaches, as we’ve seen with the recent 23andMe bankruptcy issue. While they claim GDPR compliance, it’s unclear why PDF files need to be retained after processing. If there's no option for users to delete their own files, one has to wonder whether the data is being kept for purposes such as training AI models. As of this writing, there's no mention of such usage in their privacy policies or terms.

Feature Request:
It would be incredibly useful to have a "lite" mode—an option to simply convert PDF statements to Excel files without populating dashboards, vendor lists, or transaction categories. Many users, especially those who still rely on Quicken for tax preparation and bookkeeping, need nothing more than a fast and accurate conversion tool. Adding such a feature could greatly expand the tool’s appeal and user base.

Bottom line: despite its privacy concerns, this tool is a hidden gem and well worth purchasing for its core functionality. I sincerely urge the developers to implement more robust data control options—not only for user protection but also to safeguard their own platform. History has shown how a single breach can undermine even the most trusted names in the industry.

I understand your valid concern regarding the retention period of processed files.

Original files are stored for a maximum of one year after data extraction, and they are used exclusively for debugging purposes. Users can request the deletion of all stored data if they choose to close their accounts.

Well ahead of competition

I have tried similar tools through free trials, and the initial results of Smart Clerk were really impressive. Extracting data from bank statements is already a cool idea, and Smart Clerk does it really well.

The UI is super clean and simple, although the dashboard could be a bit more detailed and customizable.

If Smart Clerk manages to add the right features in the upcoming months, it could become a rising star among accounting tools.

Good for PDF Statements Only; UI Needs Work for Data Entry

Will not accept CSV transactions directly from institutions, which is the only way for me to download them from multiple accounts. Makes the product worthless for me, but I see the promise. I uploaded one PDF statement to test and it recognized transactions well, but data entry isn't fast. I click in the description to enter the payee information for a check and can't hit tab or enter to submit, I have to click a plus. Terrible for data entry speed. Categories management requires one category added at a time make chart of accounts setup VERY time consuming.

Thank you for your review! Your suggestion regarding the user interface is very valid, and we have already incorporated those improvements into our next release.

As for data import, we currently only support bank and credit card statements, with direct bank integration to follow. Unfortunately, CSV import is not in our roadmap, as we are focusing on achieving simplicity through drag-and-drop...

Excellent Product with Room to Strengthen Data Trust

The functionality is top-notch, and it saved me a ton of time. For entrepreneurs and small business owners juggling multiple responsibilities, this is a game-changer.

As the product continues to grow, I’d love to see more clarity and communication around data security.
